Move an Excel product list into shared store workflows
Keep the useful information in your spreadsheet and give daily stock changes a consistent place to be recorded.
When a spreadsheet is enough
A small list with one person maintaining it may work well in a spreadsheet. The reason to change is the workflow: several people editing, multiple stores needing consistent stock, or repeated effort reconciling separate copies. A larger file alone does not make a new system necessary.
Prepare the first worksheet
Use .xlsx and put the product table on the first worksheet. Check identifiers, decimal separators and the meaning of stock units. The importer reads cell values; it does not transfer workbook formulas, formatting or a spreadsheet’s workflow rules. Preserve the source file.
Confirm the handover
Review the suggested mapping and all ignored fields. After importing, compare representative items and totals, then agree when the team starts recording new movements in Storebase. Avoid maintaining two active stock records without a clear reconciliation process.
